About Us

Ecology Solutions is a leading consultancy specialising in ecology planning solutions, offering an extensive range of expertise to numerous and diverse high-profile clients within both the public and private sectors. We also have regular interaction with our partner companies specialising in landscape consultancy and ecological mitigation implementation / habitat creation. As we continue to grow, we are seeking talented Ecologists to join our Worcestershire and Hertfordshire offices.

Job Summary

We are seeking a highly organised and proactive Survey Coordinator to support our ecology field operations. This role is central to the efficient planning and scheduling of seasonal ecological surveys, ensuring field surveyors are well-prepared and all logistics are in place. While the role involves no direct line management, the Survey Coordinator will play a vital role in supporting field surveyors through clear scheduling, compliance guidance, and Health & Safety (H&S) escalation. The nature of the work is that it is seasonal, so during the low season, working days can be reduced to 4 days per work (with pro-rated salary) and the Survey Coordinator would be expected to assist with project work, such as bat analysis.

Key Responsibilities

Survey Scheduling:

  • Coordinate and schedule field surveys in collaboration with project teams, taking note of legislation and guidance around when they can be carried out.
  • Ensure timely allocation of surveyors to projects, considering skills, availability, and location.
  • Liaison with Project Managers to ensure their surveys are carried out on time and all information is stored appropriately.
  • Maintain an up-to-date scheduling system that reflects surveyor assignments.

Information Management:

  • Ensure all surveys have complete and accurate contact and access information.
  • Communicate survey logistics clearly to all relevant team members in advance of each job.
  • Maintain records of survey assignments, locations, and client requirements.
  • Ensure all collected survey data is downloaded to the appropriate folders and disseminated to the right staff members.

Health & Safety Oversight:

  • Act as the first point of contact for field surveyors to escalate H&S concerns or incidents.
  • Log and report incidents with field surveyors and carry out supporting follow-up actions as needed.

Training & Induction:

  • Organise and deliver the annual induction and training programme for new surveyors.
  • Ensure training materials are current and aligned with legal and industry standards.

Compliance & Best Practice:

  • Keep up to date with relevant ecological survey legislation, guidance, and best practices.
  • Communicate any relevant changes to field and wider teams and support their application in the field.

Skills and Experience

Essential:

  • Proven experience in coordination, scheduling, or logistics, ideally in an environmental, ecological, or fieldwork-based role.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Familiarity with health & safety procedures relevant to fieldwork.
  • Ability to manage multiple tasks and adapt to changing priorities.

Desirable:

  • Understanding of ecological survey practices and terminology.
  • Experience delivering training or onboarding.
  • Knowledge of relevant UK environmental legislation and guidance (e.g., protected species, survey seasons).

Personal Attributes:

  • Calm and pragmatic under pressure.
  • Proactive and self-motivated with a solutions-focused mindset.
  • Strong team player who builds effective working relationships with surveyors and wider staff.
  • Committed to promoting a safe and compliant working environment.
